Overview of My Tenancy Portal

Welcome. My name is Steven Goddard and I have been a website developer for over 20 years in the Sandhurst & Crowthorne areas in Berkshire. Although semi-retired, I still have many clients under my principal business Thamesway which was established in 2005.

I am a 'landlord' on behalf of my mother who is now in her late eighties and is finding the task and obligations of being a landlord too much to cope with. I soon found that I needed to be better organised and developed a private website to store documents and manage everything that is needed.

Realising how much easier this was, I considered the idea of sharing what I have created with other landlords and My Tenancy Portal seemed a good name for it so here we are! I hope you will find it as useful as I do.

If you use a letting agent

A letting agents management service can handle most of the documentation and deal with suppliers to fix problems which is great, but it is still useful to have a maintenance history and useful notes about the property for when you get a new tenant. You can store the documents and invoices you receive from the letting agent. For landlords on contract only and choose to manage it themselves, this system really helps!

Security

Search engines cannot access your files or data because they are protected behind user authentication (log-in) and are not publicly available or linked in a way that would allow them to be discovered. As an additional safeguard, the website also includes HTTP response headers that explicitly prevent search engines from indexing documents or their content. Document files are further protected by being assigned 32-character randomised filenames, and all data is transmitted using SSL encryption.

Any online system is only as strong as its weakest point so please ensure you use a strong password!

Functionality

Once you log in and click on the property icon, the main menu along to top changes to the context of the property you are managing and has the following menu sections.

  • Dashboard
Shows a list of the properties on your account and your account details. It will also show any maintenance alerts from your tenants ~ if you have enabled this option for your tenant.
  • Documents
Lists your documents where you can set email reminders, send the document to your tenant or any other user and reveal them on their dashboard. Documents are organised by property so there is no confusion as to which document relates to which property.
  • Suppliers
Lists your suppliers where you can email them directly from the portal. Because suppliers can be common to other properties they can be conveniently copied across to another property to save you re-entering them.
  • Maintenance
Lists your maintenance jobs booked or pending, email reminders can be set and email your tenant with the booking details.
  • Notes
General notes which you can keep private or reveal to your tenant. A good section to advise of useful info like where the stop cock is, where to find the meters or anything else that they should know. Email reminders can also be set for notes.
  • Emails
A convenient, quick view list of the emails you have sent categorised by each of the sections.
  • Users
Mostly, a user is your tenant, but you can set up other users to view items that you choose to reveal. For privacy reasons, no personal information is shown. Any emails sent to one user will not be seen by another. Only the details that are relevant to the property can be viewed.
  • Support
There is also a support section which has answers to many questions. This will an be expanding section to answer any further questions received via the contact form (which will be replied to!). Hopefully you will find this system very intuitive to use but if you do have questions, help is at hand.
Email Reminders

Email reminders can be set to alert you when a document expires or when a maintenance job needs doing. You have an option to set the reminder the day before or 7, 14, 21 or 28 days before the expiry date. Emails are sent out between 4am and 5am.
